Privacy notice
This notice explains, in plain English, how we use personal information when we contact businesses about our credit control service. It applies under the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).
Who we are
On Good Terms is a trading name of Mindway Media Ltd, registered in England and Wales, company no. 07486458. Registered office: 727-729 High Road, London N12 0BP. Mindway Media Ltd is the controller of the personal information described here. Contact us at hello@goodtermshq.com.
What we collect
Business contact details only: your name, job title, company name, work email address, work phone number and company address, plus notes of any correspondence we have with you. We may also note details from a job advert your company has published, such as the role and the date it was posted.
Where we get it
From publicly available sources: job adverts your company has published, your company's own website, and Companies House. If you contact us, we also use what you send us.
Why we use it, and our lawful basis
We use these details to contact businesses that may benefit from our credit control service, and to keep a record of those conversations. Our lawful basis is legitimate interests (UK GDPR Article 6(1)(f)): our interest in offering a relevant service to businesses, balanced against your rights. We only email corporate subscribers (such as limited companies and LLPs) at their business addresses, in line with PECR, and every message tells you how to opt out. We do not use your details for automated decisions that have legal or similar effects on you.
How long we keep it
If you don't reply or show interest, we delete your details within 12 months of our last contact. If you become a customer, we keep what we need for the length of the relationship and as long as the law requires afterwards (for example, six years for accounting records). If you opt out, we keep a minimal record (your email address and the date) on a suppression list, solely so we never contact you again.
Who we share it with
We don't sell your information. We share it only with service providers (processors) that help us run our business and act on our instructions, including Attio (our customer relationship database) and Google Workspace (our email). Some of these providers may process data outside the UK; where they do, we rely on appropriate safeguards such as UK adequacy regulations or the UK International Data Transfer Addendum. We may also disclose information if the law requires it.
Your right to object and opt out
You can object to our outreach at any time, and we will stop. Just reply "no thanks" to any of our emails, or email hello@goodtermshq.com. It's free, and we'll act on it promptly.
Your other rights
Under UK GDPR you also have the right to: access the personal information we hold about you; have inaccurate information corrected; have your information deleted; restrict how we use it; and receive a copy of information you gave us in a portable format (data portability). To use any of these rights, email hello@goodtermshq.com. We will respond within one month.
Complaints
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator: ico.org.uk/make-a-complaint, or call 0303 123 1113.
